Migrating from Microsoft 365.

The DNS and MX switch is the same as with other providers. Old messages take a different path: Microsoft 365 requires Microsoft sign-in instead of a password for IMAP, while Mühür Mail's import tool connects with a password today.

That's why we recommend moving old messages with a mail app; the steps are below.

Nothing is deleted or changed at the source.

Before you start.

Review the records and mailboxes on the Microsoft side.

  • Note your records

Microsoft 365 adds MX, autodiscover and SPF records to your domain. You'll remove them when the move is done; note them now.

  • A mail app

Add both your Microsoft 365 account and your Mühür Mail mailbox to Outlook or Thunderbird; the two accounts appear side by side.

  • Shared mailboxes

For shared mailboxes in Microsoft 365, create shared mailboxes in Mühür Mail and give people access.

Migration in five steps.

The dashboard's migration plan follows the same order and shows each step's status from real data.

  1. Step 1: Lower the TTL

Lower your current MX record's TTL to 300 seconds, so the new record spreads within minutes when MX changes.

  2. Step 2: Create mailboxes

Connect your domain and create a mailbox for each person. New mail doesn't come to Mühür Mail until MX changes, so nothing stops at this step.

  3. Step 3: Import old messages

Connect to the old server over IMAP, confirm the folder mapping and start the import.

  4. Step 4: Switch the MX record

Point the MX record to Mühür Mail; remove the old provider's MX and SPF entries once the move is done.

  5. Step 5: Confirm delivery

Send a message from outside and see it arrive; run the import once more to collect anything that reached the old server in between.

The import never deletes or flags anything at the source; re-running the same job skips messages that already arrived.

Move messages with a mail app.

Once both accounts are in the mail app, drag folders from the Microsoft 365 account to the Mühür Mail account. The app uploads the messages to Mühür Mail over IMAP.

  • Mühür Mail server settings are in the Devices step of the setup wizard; IMAP port 993
  • For large mailboxes, move folders one at a time
  • With two-step verification on, use an app password for Mühür Mail
  • When MX switches, remove Microsoft's MX record, the autodiscover CNAME and the include:spf.protection.outlook.com part of your SPF
  • Cancel Microsoft 365 licenses after you've confirmed the final move

Frequently asked questions

Why doesn't the import tool connect to Microsoft 365?

Microsoft turned off password sign-in for IMAP in Exchange Online and requires Microsoft sign-in (OAuth). Mühür Mail's import tool connects with a username and password or app password today. If that changes, we'll update this page.

We have many mailboxes. Do we have to move them all by hand?

Moving with a mail app is done per mailbox. For many mailboxes, write to us and let's plan the move together.

What about calendar and Teams?

Mühür Mail is an email service; it has no calendar yet and doesn't replace services like Teams. If you'll keep using them, write to us while planning the move.
